<p>In order for the ScanMailXs filter to filter emails for your domains, you must modify the Mail Exchange (MX) record for your domain. You must insert mxdk01.scanmailx.dk and mxdk02.scanmailx.dk with same and lower preference than your own mail server so that emails will be sent to ScanMailX first where they are filtered and then being sent to your server (mail.domain.com )</p>

<p>Many spammers often sends to the MX record with the highest preference to try to get to backup mail systems with often weaker spam filtering. To ensure that they do not get success with this you can completely remove your own server from the MX configuration. You then just configure within ScanMailX user interface (Advanced configuration) the server we should forward to and then only have the two ScanMailX entries in your MX record.</p>

<p>If you internet provider is blocking for incoming mail, you can configure ScanMailX to forward email to another port on your server. This is configured in the Advanced Configuration menu. Remember that this requires that your mail server listens on the SMTP port as you configure.</p>

<p>When there is a small warning icon  in the Domain table overview it means that ScanMailX’s automatic DNS lookup for MX record failed.</p>
<p><strong>"No DNS scan done"</strong> is the initial status of a newly created domain. DNS for all domains are checked every 10 minutes and the state must change accordingly.</p>
<p><strong>"No ScanMailX MX record found in DNS"</strong> means that when looking for ScanMailX in DNS for this domain it cannot find a reference to "mx.scanmail.com". In order for ScanMailX to filter email for a given domain this entry must be present in DNS.</p>
<p><strong>"No higher preference MX to relay to"</strong> means that the ScanMailX record is found in DNS, but that there is not a MX entry with a preference higher than ScanMailX filter. This means that ScanMailX cannot forward filtered emails to any server</p>

9) How should I configure the SPF record in DNS?

The SPF (Sender Policy Framework)  record in DNS is used to validate whether the sending email server is allowed to send with the sending domain (the from address). Since emails for the customer domain are relayed through ScanMailX servers and will now originate from these (IP addresses) SPF could potentially fail at the customers mail server. This is only relevant if the customer mail server also runs some spam checke. In this can it can be beneficial to add an SPF record or a ScanMailX specific entry.
If an SPF record is not already in use can the minimum record below be used. The important parameter here is the "a:scanmailx.com". You can use the OpenSPF wizard to make a correct SPF record.

"v=spf1 a:scanmailx.com ~all"

If you are not making SPF validation at the receiving mail server (customer mail server) there is no need for a specific ScanMailX SPF record. It is in all cases always a good idea to have an SPF record for you domain which we strongly recommend.

Who should use ScanSMTP? What should it be used for?

ScanSMTP is most helpful to individuals, small groups (friends, family and colleagues), and small- to medium-sized businesses for personal communications. The service is not intended for the following:

  • Large-scale mailing lists and newsletters
  • Marketing campaigns and advertising
  • Automated responses (e.g. forum post notifications, account confirmations, purchase receipts)
  • Mass mailings of any kind (e.g. "mail blasts")

Most home or small-business users will find the ScanSMTP service to work just fine for their daily needs. If you do wish to send a newsletter or mailing list, we recommend using opt-in policies, explicit opt-out instructions on each email, and other procedures as required by the US CAN-SPAM Act, our Acceptable Use Policy and general e-mail etiquette.

Will ScanSMTP work even if port 25 is blocked?

Yes - ScanSMTP is open on 4 different ports (25, 2525 and 587). We recommend using port 2525.

What about attachments? Can I send them?

Absolutely! You can send any attachments, up to 20MB in size per email.

Should I modify my SPF record?

If you use SPF records for you domain, make sure to add include:scanmailx.com to your record. If you only use ScanSMTP to send emails for your domain you would want to add an SPF record for you domain that looks like this:

"v=spf1 include:scanmailx.com ~all"

This will let you piggy back on the SPF record which we in turn publish for smtp.scanmailx.com.

If you use other servers to send mail for your domain other than smtp.scanmailx.com, see the SPF Wizard for assistance in creating the appropriate SPF record.

What happens when I reach the daily limit?

ScanSMTP provides an option to purchase Email Buffer Pools that can be used if you reach the daily limits. When you reach the limit ScanSMTP will start using credits from the Email Buffer Pool if present and notify you via email. If you have no Buffer Pool and you reach your daily limit, the email will stay in your Outbox on your own computer or the corporate server until the next day when you attempt to send again.

We have a large mailing list. Can we send to that?

ScanSMTP has strict rules for sending to lists that contain more than 200 email addresses. The following rules must be adhered to for sending to such lists:

  • Lists must be 100% opt-in. This means that you must have obtained the permission of your recipients to send them emails. Examples of lists that are not allowed are purchased lists, email addresses scoured from the Internet, and marketing leads.
  • In addition, lists must be up-to-date, and have had emails sent to them recently (within the previous 3 months). We closely monitor the percentage of bouncing/invalid email addresses and take action where necessary.
  • An opt-out (unsubscribe) link must be placed at the bottom of each email which will allow the recipient to immediately remove themselves from the maillist.
  • Emails must not contain content related to the industries mentioned in the terms and conditions.
